AI Sales Order Automation for SAP Business One

Reads the customer PO, checks stock and price, and stages the sales order in SAP for approval.

A purchase order arrives as a PDF. The agent translates the customer’s wording into your item master, checks credit exposure, tax and duplicates, and stages a validated sales order in minutes. Nothing reaches SAP without your approval.

The problem

Retyping customer POs is where clean orders go wrong

The PO arrives as a PDF and someone retypes it into SAP, line by line. The customer’s item descriptions never match your item master, their “bags” are not your pieces, and the rate quietly differs from the quote you actually sent. One wrong pick here becomes a wrong shipment, a credit note and a tax headache. And when the customer emails a revised PO, rev 2 sits in the same inbox – nobody diffs it against what was booked. An agent that reads, checks and stages, with your team approving, catches all of it while the order is still fresh.

The difference

One customer PO. Read two ways.

Tuesday, 09:12: a PO lands in the inbox. On the left, what the document actually says – the customer’s own item wording, an ambiguous unit, a rate that doesn’t match your quote, GST details missing. On the right, what your team sees minutes later: a staged sales order where every line carries the check it passed, and the one that didn’t is held, not hidden.

Why it matters

A wrong order costs you three times

The retyping itself is cheap. The errors it lets through are not: a mis-picked item ships, comes back, and gets re-invoiced – and the customer remembers. Checked lines, same-day confirmation and honest promise dates are what win the next PO from the same customer.

The wrong-order math
1 wrong line=3 costs
the wrong shipment + the credit note + a customer who trusts the next order a little less
Your order volume, error rate and entry turnaround are exactly what the 20-minute order-desk review works out – and what same-day confirmation is worth on your repeat business.

Same-day confirmation wins the repeat order

The acknowledgment goes out the same day with converted quantities and an honest promise date, not an echo of the customer’s wish. Suppliers who confirm fast and deliver on the date get the next PO.

Capacity without headcount

Order volume grows; retyping does not. Your order desk moves from data entry to judgment – reviewing exceptions, releasing with reasons, approving. The work is eliminated; the team is upgraded.

An uncaught amendment ships the old order

A revised PO is diffed line by line against what was booked. Your team sees exactly what changed, the original is superseded on the record, and every check re-runs on the new content.

How the agent works

Sales order capture, from customer PO to SAP.

The agent doesn’t run a blind script. It reads, resolves, checks, routes and learns, and hands your team a staged order plus only the exceptions worth their judgment.

READS

The document

File checked, classified as a PO – payment advice and inquiries route out. Bundles split, every field read with a confidence score. Low confidence blocks until a human verifies: checks never run on guesses.

RESOLVES

Their words, your master

The sender to your SAP business partner. Their item wording to your SKU via the per-customer alias book. Their “bags” and “drums” to your units – conversion factors come from master data, never typed.

CHECKS

The commercials

PO price against your quote, rate contract or price list, normalized to the base unit. Then credit exposure, stock and promise date, tax ID and tax split, duplicates and amendments.

ROUTES

Exceptions, with authority

Each exception goes to the right person with the right approval limit. A release takes a typed reason into the override register. A customer on sales hold is a hard stop nobody can release.

LEARNS

At every approval

The mapping your team confirms is written to the alias book for that customer. The next PO with the same wording flows touchless – the agent gets faster with every order you approve.

Best of both worlds

Product speed. Custom fit.

You shouldn’t have to choose between a rigid SaaS box and years of custom build. The agent is business process automation with the fit of a custom system, at the speed of a product.

Switch it on

A proven agent, ready to run

The PO reader, the rule engine, the SAP connector already exist. You’re live in under a week, on the SAP you already run – and your customers notice nothing except same-day confirmations.

Shape it to you

Configured around your order desk

Your price tolerances, credit rules, approval levels and sanction limits are configuration, not code. Every configuration change is logged – and every open order re-checks itself against the new rules instantly. Need a custom rule or an integration? We build it around you.

Governance, not vibes

Agentic where it earns trust. Governed where it counts.

Autonomy is a dial you set. The agent reads and checks; your team decides. Every judgment on every order is on the record.

Nothing posts on its own

The agent stages a sales order draft in your SAP ERP – never a posted document. Your approval chain signs off first, each level capped by its sanction limit, and a human releases the final document inside SAP.

Every exception has a reason

A deviation is released only with a typed reason that lands in the override register and rides into the SAP draft remarks. Hard stops, like a customer on sales hold, cannot be released by anyone.

The record cannot be switched off

Read-only by default. An append-only audit trail on every action and a config change log on every setting: who, what, when, why. Disputes end at the timestamp.

Why teams keep it

Built for how you run

  • Native SAP Business One on HANA – on-prem or cloud
  • Tax-aware by region – tax ID checked, domestic vs interstate tax computed from the ship-to address
  • A per-customer alias book – their wording, your SKUs, learned from your approvals
  • Amendment-aware – a revised PO is diffed against the booked order, never double-booked
  • Works with the inbox, the ERP and the team you already have

What changes in weeks

  • Order entry drops from hours of retyping to minutes of review
  • Item and unit mix-ups caught before dispatch, not after the return
  • Every PO price reconciled against the quote you actually sent
  • Duplicates and amendments surfaced on arrival, not at the loading dock
  • Over-limit and overdue accounts held at the order desk, not discovered after dispatch
  • Customers get same-day acknowledgment with an honest promise date

FAQ

Order entry automation, answered

What is sales order automation?

Software that turns a customer purchase order into a validated sales order in your ERP without manual retyping. The agent reads the PO PDF, resolves the customer and every line item, checks price, credit, tax and duplicates, routes exceptions to the right person, and stages the sales order in your SAP ERP for your approval.

Can AI read customer purchase order PDFs?

Yes. The agent reads PDF and image POs from your sales inbox: PO number, dates, ship-to, payment terms, and every line with the customer’s wording, unit and rate. Every field carries a confidence score – anything below the gate blocks until a human verifies it against the document, so checks never run on guesses.

What happens when item descriptions don’t match our item master?

That is the heart of order entry automation. The agent keeps a per-customer alias book: once your team confirms that a customer’s wording means a specific SKU, the mapping is learned at approval. Close matches arrive pre-selected for one-click confirmation; unclear ones are held until a human picks. The same wording never has to be resolved twice.

Does it check the PO price against our quote?

Yes, on every line. The PO rate is normalized to your base unit and compared against the governing reference: the rate contract if one covers the customer and item, then the price list, then the last sold price. Over-priced and under-priced lines are both held – under-pricing is treated at least as seriously, because it leaks margin invisibly – and a release requires a typed reason with the margin impact stated.

Does it check the customer’s credit before accepting the order?

Yes. Before a sales order is staged, the agent adds this PO’s value to the customer’s open receivables and checks the total against their sanctioned credit limit in your SAP. If the order would push exposure past the limit, or the customer already has overdue invoices, it is held for a credit decision with the evidence attached: the exposure math, the limit, and the overdue list. A credit hold placed by your finance team is a hard stop nobody at the order desk can release.

What about order amendments and revised POs?

A revised PO is recognized by its revision markers and PO number, then diffed line by line against the booked order – it never creates a second order. Your team sees exactly what changed, the original is superseded on the record, and every check re-runs on the new content. No earlier release carries over to the revision.

Does anything post to SAP without our approval?

No. The agent stages a sales order draft – never a posted document – and only after your approval chain has signed off, with each level capped by its sanction limit. Staging is idempotent, so a retry can never create two orders. A human releases the final document inside SAP.

Which ERPs does it work with?

The agent integrates natively with your SAP ERP. Customer, item, price and credit master data are read directly from SAP, and the validated order is staged there as a draft your team approves. Read-only by default, no rip-and-replace, and your data stays inside your network.

How long does it take to implement?

You are live in under a week. The PO reader, rule engine and SAP connector already exist; implementation is configuring your tolerances, approval levels and acknowledgment templates, and pointing the agent at your order inbox. The alias book then builds itself from your team’s approvals from day one.
